Creating Party Groups and Per Group Costing
itrvl allows you to customize pricing for different groups within your itinerary, providing flexibility when managing multiple travelers with varying costs. This article will guide you through creating party groups, assigning travelers, adjusting costs per group, and generating invoices based on the number of travelers (pax) in each group.
Why Create Party Groups?
Party groups are useful when you have multiple travelers with different needs, such as couples or solo travelers. For example, if you have a group of five travelers, with two couples and one solo traveler, you can create three party groups to handle their individual costs.
Creating and Generating Invoices Per Party Group
Step 1. View the travelers tab:
1. Navigate to your itinerary’s Trip Details page and click on the ‘Travelers’ tab. By default, all travelers will be listed under Party Group 1.
Step 2. Create a new party group:
1. Select the ‘Create Party Group’ button in the top right corner to add a new group.
2. You can customize the title of the party groups, by assigning each group a name.
3. Assign a Lead Traveler from the dropdown list for each group.
- Note: A child cannot be designated as a lead traveler.
4. Selecting an existing client.
- If the lead traveler has traveled with you before, you can select them from the ‘Existing Client List’ in the dropdown below.
5. Otherwise, create a new client directly from the pop-up.
Step 3. Create another party group:
1. In this scenario we are creating three party groups. You are able to create as many party group as you want.
2. Repeat Step 2 until all necessary party groups have been created.
Step 4. Assign travelers to party groups:
1. Once your party groups and lead travelers have been added, you must assign the remaining travelers to their respective groups.
2. Click the three dots next to a traveler’s name and select the party group they belong to.
Step 5. Customize cost within party groups:
1. As you assign travelers, itrvl will automatically distribute the costs based on the number of people (pax) in each group. For example:
- Party Group 1 (2 pax): 40% of the total cost
- Party Group 2 (2 pax): 40% of the total cost
- Party Group 3 (1 pax): 20% of the total cost
2. Adjusting Party Group Costing
- By default, costs are split proportionally based on the number of travelers in each group. However, you can adjust the allocation for specific line items under the Trip Details page.
- If one party group has additional costs, such as upgraded accommodation, you can customize how the expenses are distributed per group.

3. Generating Invoices Per Party Group
- Once your booking is in provisional/held you can generate invoices.
- itrvl will automatically suggest how much to charge per party group deposit and total selling price under the Payments Summary tab.
- Make sure to take a screenshot of the party group price breakdown, as the pricing summary will update once invoices are created.
4. Generate invoices based on your screenshot of the price breakdown.
