Adjust Party Group Price Allocation per Line Item

itrvl makes it easy to adjust party group pricing based on specific needs, allowing you to allocate costs for groups as fairly and accurately as possible. This guide will walk you through an example of how to adjust price allocation for different party groups within a booking, ensuring everyone pays their share based on their accommodations and preferences.

Scenario: You’re managing a group of five travelers, split into three party groups. 

  • Party Group 1: Couple 1 (2 pax)
  • Party Group 2: Couple 2 (2 pax)
  • Party Group 3: Solo Traveler (1 pax)

The solo traveler is staying in the same room type as the couples, so their share needs to be adjusted to cover more of the cost. With itrvl, you can easily reallocate pricing across these groups to reflect the correct distribution. Here's how to do it.


Step 1: Create Party Groups

1. Once you’ve created party groups itrvl will allocate cost based on the number of travelers in each group. For this example, the cost is split as such:

  • Party Group 1:  (2 pax) = 40% of the cost
  • Party Group 2: (2 pax) = 40% of the cost
  • Party Group 3: (1 pax) = 20% of the cost

Step 2: Access Trip Details
To adjust the price allocation for specific line items:

1. From the Itinerary Overview, click on ‘Trip Details’.

2. Scroll down to find the line item you want to adjust (e.g., accommodation costs, transfers). Hover over the supplier cost to view the breakdown of each accommodation or service.

3. Click on the ‘sell price’ to view the pricing allocation pop up displaying the selling price and its percentage per party group.

Step 3: Edit the Pricing Allocation
1. Adjust the allocation percentages for each group by entering your desired party group percentage allocation. 

  • The total allocation must equal 100% to continue. 

Click on content

Example: If the solo traveler should pay a larger share for accommodations, adjust their percentage accordingly. Ensure the total allocation equals 100%.

  • Party Group 1 (2 pax) 40% of the cost →  33.5%
  • Party Group 2 (2 pax): 40% of the cost →  33.5%
  • Party Group 3 (1 pax): 20% of the cost →  33%

Click on PAYMENTS SUMMARY…

Step 4: Generate Invoices
Once you’ve adjusted the allocation and verified the changes:
1. Navigate to the Payments Tab.
2. Click on ‘Generate Invoices.’ itrvl will generate one deposit and balance invoice based on the total selling price. It will be up to you to create invoices based off the party group summary above.
