9.1 Request to Provisionally Hold a Booking
Reach out to JNB to provisionally Hold a Booking
Well done! Your client is ready to confirm their trip. But now what?
First and foremost, you will need to email your client and request copies of each travellers passports, as well as, let them know that you will get their trip on hold and send through their invoice as soon as this is done. Once done, you will now need go through to hold space with the Wilderness Jo'burg team as follows:

1. Hide the sell price to client whilst you get the space on hold
2. Click 'request hold' in iTRVL
3. Download excel sheet from financials tab (detailed tab within financials) in the Wilderness Window - you will now need to check the suppliers and services on this sheet. Any incorrect details, update and highlight in a different colour to highlight changes. Please make sure any override services are updated to be the actual service that they are and are clear. Add and highlight flight timings so that the Wilderness team requests the correct holds with suppliers. Click HERE to access the WW Manual and click on downloading financials for quick access on how to do the above. **Please make sure you are putting the flight details of the flights you want booked, i.e. SA Airlink 4Z 494 JNB (11.35am) - VFA (1.20pm) / Coastal Aviation Arusha (7.45am) - Serengeti Kogatende (10.05am)**
4. If you have any internal / regional commercial flights with an available date range, request WS JNB to get a price from Thompsons / Flight Centre and update the supplier cost (make note of supplier cost in ‘notes for concierge’ when requesting hold so you can amend pricing if quote comes back higher from WS JNB team). Should the flights not be within range, but a note in ‘notes for concierge’ that the price is subject to confirmation and will be reconfirmed once flights are available.
5. Attach this document to the request hold email that is automatically sent through to you email from iTRVL (reply from within Pipedrive so correspondence is linked to the client’s deal and you have access to Pipedrive’s templates) and forward this email to Wilderness team (yellowzebra@wildernessdestinations.com) to provisionally hold the space using the ‘Provisional Hold - WS JNB holding accom’ template in Pipedrive and don’t forget to link this email to the client deal. You may also want to add the client name to the subject line -I have asked the iTRVL team to update the subject line. **Please save this file to the clients folder in dropbox so Ops can access it when checking confirmations coming back from the WS team** Folder labelling to be as follows: SURNAME, first name / number of trips / destination / consultant (i.e. BLOGS, Joe 1. KE (ED))
6. If you have an Experience Uganda quote from Kevin / Rhys, save this to file and attach this to your email to the JNB team otherwise they will go and ask the Exp UG team for a quote / cost that you already have
7. WS JNB team to acknowledge the email so YZ / WS Direct specialist knows which Travel Designer (TD) is looking after the booking
8. TD to update specialist of prov. status as they come in. For now this is a manual process, but will change to an automated process that when the status of the booking changes in the WW an auto-email will be sent through.
9. Once WS JNB has the whole booking held, your TD will change the booking to provisional (green circles) and send the final prov. confirmation through to the YZ / WS Direct specialist.
**Please note: Once a booking has been provisionally held, we can't make changes to the booking. All changes need to be made through the TD**
