Building and Sharing your First Itinerary
Learn how to build a live itinerary that you can share with your clients in minutes
Traditionally building an itinerary for clients can be a lengthy process that requires multiple iterations just to get something in front of your client. itrvl grants you the ability to create live itineraries from over 2000 accommodations across Southern and East Africa in a matter of minutes.
The itinerary builder is where the magic of itrvl begins! For more detailed instructions on how to get the most out of the Itinerary Builder watch our 'Itinerary Building' tutorial below!
Create a Client
Start by creating a client. Click the client button on the left side of the home screen and fill out your client details. A first and last name are the only required fields.
Select Start Date and Traveller Configuration
Next, pick the dates your client is expecting to travel and the number of travelers in their party.
Note: You will be able to adjust this in the following step.
Building an Itinerary
Now that you have created a client you can start building an itinerary. Click on the custom builder to access over 2000 accommodations to include in your itinerary.
1. Select your preferred accommodations
Filter accommodations by country and/or region and select all the accommodations you would like to see availability and rates for.
itrvl Pro Tip: Select your top choices and secondary options to compare availability all at once. Just in case there is no availability for your first choice.
To select the accommodation you would like to add to your itinerary click the check box next to the accommodation name. You will then see it populate in the 'My Selections' section.
In the situation where you are simply trying to give your client options and you want to ignore availability switch the toggle in the bottom left corner from 'Booking' to ‘Quote Only’ mode. This disregards availability and shows all accommodations as available (as long as it is not closed for the dates you are viewing).
When you are ready to begin building out your itinerary, click 'Check Availability' to take you to the itrvl availability calendar.
3. Build out an itinerary based on availability, costing, and more.
Choose specific nights per accommodation by clicking on the white boxes that coincide with each accommodation and date. They will turn blue when you have selected a date/bednight for the accommodation of your choosing. You will see an overview of your itinerary created at the bottom of the screen as you select bednights.
4. Build your itinerary complete with transfers and desired bed nights with the click of a button.
Now that you have selected accommodations and the bednights for each, you are ready to quote this itinerary. To do this click 'Get Quote' in the bottom right corner. This will take you to the itinerary detail screen where you can customize every aspect of your quote.
Congratulations, you have built a quote!
5. Sharing a Client Portal
Before you can share an itinerary with your client you must publish it to its client portal. This allows you to build and present multiple itineraries, as well as, select which ones are visible to your client.
To do this, click 'Publish to Client Portal' at the top of the Itinerary Details Screen.
You will know an itinerary is published once the button changes from Publish to Client Portal to Published to Client Portal.
Note: The video itinerary will begin generating once the itinerary is published to its client portal. It will usually take about 1-2 minutes per accommodation in the itinerary to fully load the video in your client portal.
To share a client portal, head back to the Client Details screen by clicking the orange box in the top right corner.
Copy the client portal share link to your clipboard by clicking Share Client Portal.
You can confirm that the share link has been copied to the clipboard when a green popup appears in the bottom left corner of your screen.
Note: The clipboard, also known as a pasteboard, is a special location on a computer, phone, or tablet that temporarily stores copied text or other data. To utilize the link that was copied simply paste it.
To review the client portal you created by publishing an itinerary, paste the share link copied to your clipboard in a new tab on your browser. It should look similar to the screen below.
Reminder: Make sure to ALWAYS use the share link you copied directly from itrvl by pressing the "Share Client Portal" button and to NEVER use the link you can copy directly from the URL.
Your share link should look like this:
